Yes. The maximum supported file size is 2GB, with tested audio lengths up to approximately 2.5 hours.

  • Can I upload more than one audio file at the same time?

Yes. VRBTM supports batch uploading of audio files. You can select multiple files and upload them together. Each file will be processed individually.

  • How long does it take for an audio file to be transcribed?

Processing time depends on the file’s length, quality, and selected language. For the largest supported files, transcription or translation typically completes in under 10 minutes, depending on system load.

  • What languages does VRBTM support for transcription?

VRBTM supports over 100 languages and dialects, powered by AWS Translate. Users can select a specific language or choose Auto-Detect to let the system automatically determine the spoken language before transcription or translation.

Administrators can customize the available languages from Settings → Application Settings → Language Configuration.

  • What browsers are compatible with VRBTM?

VRBTM is compatible with the latest versions of Microsoft Edge, Google Chrome, Mozilla Firefox, and Safari. Always use the most recent browser version for optimal performance and security.

  • Can I use VRBTM on my tablet or mobile phone?

No. VRBTM is optimized for desktop and laptop use. Mobile and tablet screens may cause display or functionality issues, and are not supported for production workflows.

  • What is a "project" in VRBTM?

A project acts as a workspace that organizes related audio files, transcriptions, translations, and redactions. Each project serves as a central hub for all associated documents, edits, and disclosure materials.

  • How do I redact sensitive information in VRBTM?

  • Within the Transcription Editor, select the text to be redacted.

  • After applying redaction, use the Sync function to automatically redact the corresponding section of the audio file, ensuring both text and audio remain consistent.

  • What is the purpose of configurable confidence ratings?

Confidence ratings highlight words or phrases with a low recognition confidence score. This helps users quickly locate and manually verify sections that may require correction—often due to overlapping speech, strong accents, or low-quality audio.

  • Can I translate a transcription into another language?

Yes. VRBTM includes an integrated translation feature that allows users to translate transcribed text into multiple supported languages. This is especially useful for multilingual reporting or international disclosure requirements.

  • What is included in a VRBTM disclosure pack?

  • A disclosure pack is delivered as a single ZIP file that includes:

    • PDF versions of the redacted and/or non-redacted transcript.

    • The redacted and unredacted audio files (MP3).

    • The editable summary and insights.

    • The complete audit log for traceability and compliance.

  • Can I customize the output format of my transcriptions?

Yes. Users can select between a standard template or a custom template when exporting disclosure packs. Custom templates can include company branding, logos, and formatting preferences defined within Settings → Quick Actions → PDF Templates.

  • My audio file is not uploading. What should I do?

  • Ensure your file:

    • Is in a supported format (MP3, MP4, or WAV).

    • Does not exceed the 2GB file size limit.

    • Is uploaded via a stable internet connection.

If the issue persists, clear your browser cache and cookies, or try another supported browser.

  • Why are some words or phrases highlighted in the editor?

Highlighted words indicate low transcription confidence. This can occur with overlapping speech, background noise, or strong accents. Manually review and correct these sections in the Transcription Editor.

  • The speakers are incorrectly identified in my transcription. How can I fix this?

Within the Transcription Editor, manually reassign speakers by selecting the affected text and using the Speaker Reassignment tool to apply the correct name.

  • I can't perform certain actions in VRBTM. What could be the problem?

Your permissions depend on your user role. Verify whether your role (Reader, Transcriber, User Admin, or Super Admin) includes the capability you’re trying to use. If not, contact an administrator to request role adjustment.
